Off-the-shelf vs bespoke: when custom software actually pays off

Bespoke isn’t always right — and anyone who tells you otherwise is selling. A practical framework for deciding, from people who build both worlds.

We build custom software for a living, and we'll still be the first to tell you when you shouldn't. Here's the honest framework we use.

Buy off-the-shelf when…

  • Your need is common and well-served (accounting, email, standard CRM).
  • The process isn't a competitive advantage — it's just plumbing.
  • You can adapt to the tool without real pain.

Build bespoke when…

  • The process is your business — it's how you're different.
  • You're paying for five tools and duct tape to do one job.
  • Off-the-shelf forces expensive workarounds or manual steps every day.
  • You need to own the roadmap, the data, and the integrations.

The middle path

Often the answer is "buy the commodity bits, build the bit that matters, and integrate them well." That's usually where we land — and it's a lot cheaper than rebuilding the world.

The real question

It's not "custom or not?" — it's "where does custom create leverage?" Answer that honestly and the budget usually answers itself. If you want a straight opinion with nothing to sell you a licence, that's what we're for.
